J0000009 - Accounts Assistant (×2)

To provide financial accounting and related services, and perform clerical financial duties related to the collection of accounting statistics in order to enable superior compile accounting records efficiently.

JOB RESPONSIBILITIES

  • Issues receipts for assessments received from employers to ensure accountability. 
  • Reconciles all the daily deposits with receipts and month end reconciliations of the Accounts maintained by the Board.
  • Ensures that records pertaining to revenue collection, Bank Statements, Reconciliations and payment vouchers are properly kept.
  • Process all Payments, maintain Petty Cash for pension and operation payments.
  • Performs any other duty as assigned by supervisor from time to time.

JOB REQUIREMENTS
  • Grade Twelve (12) Certificate with five (5) credits or better
  • Computer literacy
  • Good personal organization
    • Numerical and interpersonal skills
      • At least two (2) years’ relevant experience.
        • Must be a member of the Zambia Institute of Chartered Accountants (ZICA
          • NATECH, CA Zambia Knowledge Level, ACCA/CIMA level 2  or equivalent.

            To manage the Storeroom and maintain a buffer of stocks in order to control issuance and receipt of the materials in line with the Board policies and procedures. 

            JOB RESPONSIBILITIES

            • Receives stocks from vendors via the Procurement Unit, inspects supplies and accepts or rejects them depending on quality and specification given to ensure compliance to the procurement guidelines.
            • Manages stock levels in line with re-order levels to avoid stock outs. 
            • Raises goods received vouchers, monitors stock levels and issues stocks in absence of Stores Clerk and records such issues as per procedures, to provide an accurate record and enhance corporate image.
            • Ensures the inventory module in Sun Systems is updated with received and issued stock items.
            • Consolidates daily activities, monitors and reports on all issues in the stores so as to review, establish and advise on stock levels for timely replenishment of the same.
            • Checks on all updates from the Stores Clerk in order to ensure correctness of details and queries doubtful figures or details.
            • Monthly reconciliation of physical stock levels to the stock levels on the system
            • Compiles reports on any shortages, losses and expired stocks for the attention of and for relevant action by superior.
            • Monitors consumption of fuel to ensure accountability and prepares the report for superior’s attention

            Requirements
              • Grade Twelve (12) Certificate.
              • Diploma in purchasing and supply or equivalent.
              • Must have worked in a similar role for at least three (3) years
              • Must be a member of the Zambia Institute of Purchasing and Supply
              • Good written and Communication skills.

            To control, maintain and supervise the Board’s fleet of motor vehicles and security matters on all properties to ensure that WCFCB properties are safe and in a good state of repair.

            JOB RESPONSIBILITIES

            • Provides smooth running fleet of motor vehicles at all times in order to meet and achieve all assignments of the Board.
            • Conferring with finance department to help make payments, process incoming invoices, and verify receipts of the vehicle management system, security services, cleaning services e.tc.
            • Ensure functionality of necessary office equipment, and requisitioning new equipment and supplies as needed in all rented Board properties.
            • Maintains and Enhances repair/ replacement of all the Board’s furniture and accessories to ensure the smooth running of the organization.
            • To facilitate the provision of adequate security and full protection of all the Board’s property at all times to enhance safety of the property of WCFCB.
            • Provides a clean and healthy working environment conducive for all members of WCFCB in order to foster a sense of self-esteem among members.
            • Ensures that all mail are distributed in various offices at Head Office by the Office Assistants.

            JOB REQUIREMENTS

            • Grade Twelve (12) Certificate
            • Degree in Public Administration/Business Administration or equivalent.
            • Professional membership to a relevant Body will be an added advantage.
            • At least three (3) years’ experience in administration.
            • Must have a Valid Drivers Licence.

            To facilitate the execution of the risk management framework and processes that are essential for the Board in achieving its business objectives.

            JOB RESPONSIBILITIES

            Analysing and anticipating market trends.

            Conducting research to assess financial risks.

            Calculating risks involved in transactions and business proposals.

            Using statistical computer programmes to analyse financial risks.

            Formulating contingency plans.

            Recommending precautionary or improvement measures.

            Monitoring the implementation of action plans to address key risks on the RCSA/risk registers.

            Assisting the Principal Risk Owners with the identification of Key Risk Indicators (KRI) in their business units.

            Monitoring the implementation of action plans to address KRI.

            Analysing identified trends in the key risk indicators.

            Aggregating and analysing risk events reported by the business units into the categories and circulating them in the business every month for staff awareness and/action.

            Performing root cause analyses on identified financialrisk events to recommend improvements to prevent these risk events from re-occurring in future.

            Assisting the Manager- Risk Management in preparing reports to the Commissioner, Audit Risk & Compliance Committee and the Board of Directors.

            JOB REQUIREMENTS

            Grade Twelve (12) School Certificate.
            BA Degree/BSc Degree/Degree in any Social Sciences/Business Studies or equivalent.
            Certification in Risk Management – added advantage.
            At least three (3) years relevant work experience.
            MUST be a member of the Institute of Risk Management.
